This policy explains how the Sendary operator identified below handles personal information. It covers our website, accounts, billing, and the emails our customers send through Sendary.
Who is responsible for your information
We determine how account, billing, support, and security information is used to run Sendary. For recipient details and email content submitted by a customer, we process that information on the customer’s instructions to provide the service. The customer is responsible for its own privacy notices and lawful use of recipient information.
If you received an email through Sendary, contact the business that sent it about its content or your account with that business. You can also contact us at [email protected]; we will assist or direct your request to the appropriate customer.
Information we handle
- Account information: name, email address, password hash, workspace memberships, access permissions, and verification records.
- Service information: templates, uploaded images, branding, sending domains, recipient addresses, variables, email content, delivery timestamps, failures, bounces, and complaints.
- Billing information: selected plans, usage, invoices, payment status, discounts, and card brand and last four digits. Our payment providers collect and process full card details; Sendary does not receive your full card number or security code.
- Technical and support information: IP addresses and request information in security or server logs, browser information, support correspondence, and dated records of agreements and billing authorizations.
Why we use it
We use this information to create and secure accounts, send and analyze emails, provide the features you request, calculate usage and collect payments, answer support requests, investigate abuse, and comply with legal obligations. We do not sell personal information or use customer email content for targeted advertising.
Where a legal basis is required, we rely on performance of our agreement, legal obligations, and legitimate interests in operating and protecting the service, subject to your rights. Where consent is required, we obtain it separately; agreeing to our terms is not blanket consent for unrelated processing.
How long we keep information
Saved email content is optional and is kept for the period selected by the customer, within the limits of their plan. Content excluded from history is not retained in that history. Exclusions are not a general sensitive-data detector; customers remain responsible for deciding which content to retain.
Email delivery requires temporary processing of the original message, including content excluded from history. Pending delivery content is kept for up to 24 hours and cleared when delivery processing ends. Expired saved content becomes unavailable and is deleted through regular cleanup. An outage may delay deletion.
Other records, such as account details, recipient addresses, delivery records, templates, and billing records, are kept as needed to provide the service, resolve disputes, prevent abuse, and meet legal obligations. Email-history settings do not control these records. When information is no longer needed, we delete or anonymize it. Backup copies are removed through the applicable backup lifecycle rather than immediately when a live record is deleted.
Service providers and international processing
We share information with providers that help us host and secure the service, store data, deliver emails, process payments, and provide content generation or translation. They receive information needed for their functions, subject to applicable confidentiality, security, and data-protection obligations.
Information may be processed outside Japan, including in the United States, where data-protection and government-access rules may differ. We select and supervise providers and apply the safeguards required by applicable law. Contact [email protected] for information about recipients, processing locations, and safeguards. Where separate transfer information, consent, or contractual protections are required, this policy does not replace them.
We may also disclose information when required by law, to protect people and the service, to investigate misuse, or in a business transfer subject to appropriate protections. Account members can access information according to their permissions.
Security and external content
We use organizational and technical safeguards appropriate to the information we handle, including access controls and encryption. No system can guarantee absolute security. We address security incidents and provide legally required notifications.
Content loaded from external websites, such as images in an email, may disclose a viewer’s IP address and browser information to the hosting provider. Customers are responsible for the external content they include.
Your choices and rights
You can update profile details in your account and ask us for access, correction, deletion, restriction, or other rights available under applicable law. Under Japan’s Act on the Protection of Personal Information, this includes applicable rights concerning retained personal data and third-party disclosure records. Contact [email protected] with enough information to locate your account; do not send passwords or verification codes. We may verify identity and explain any lawful limits on a request.
Depending on your location, you may also have rights to object, receive a portable copy, withdraw consent, or complain to a privacy regulator, including Japan’s Personal Information Protection Commission. Withdrawal does not affect earlier lawful processing. We do not use customer data to make solely automated decisions with legal or similarly significant effects on individuals.
Sendary is a business service and is not intended for children to create accounts. Customers must independently assess any use of children’s or other specially protected data.
